Drafts
A version identifier should appear on each version of a draft document.
Drafts should initially be identified as Draft 0.1 DD/MM/YYYY. In subsequent drafts, the number to the right of the point is increased. For example, Draft 0.2 DD/MM/YYYY, Draft 0.3 DD/MM/YYYY. The word ‘DRAFT’ should also be included as a watermark on each page.
Example: The ninth draft of a Policy written on 3 April 2009 would be labelled Draft 0.9 03/04/2009.
When a document is sent for approval it MUST have a version identifier, eg. Version 0.9 03/04/2009. The version number changes once a document is approved, and the date becomes the date of approval.
New Documents
When a document is first approved it is identified as Version 1.0 DD/MM/YYYY.
Example: A new Policy sent for approval on 10 April 2009 as Version 0.9 03/04/2009 would become Version 1.0 10/04/2009 once approved.
Amendments
Approval of an administrative update or an authorised amendment is identified by increasing the number to the right of the point by 1 when the document is reissued with the amendment(s). (Version 1.1 DD/MM/YYYY, Version 1.2 DD/MM/YYYY and so on).
Example: An amendment is made to Version 1.0 10/04/2009 of a Policy on 7 June 2009. The Policy is now Version 1.1 07/06/2009.
Revisions
Revision leading to reissue:
After a full revision and reissue of a document the number to the left of the point increases by 1 and the number to the right returns to 0.
EXAMPLE: A Policy is fully reviewed and reissued with the same title on 13 October 2009. The Policy is now Version 2.0 13/10/2009.
